Introduction
The overall marketing and promotions philosophy of the Department of Intercollegiate Athletics is to promote and increase exposure of its programs, as well as to generate revenue opportunities to support the operations of Athletics. The marketing focus is on activities that communicate the overall quality of the sports programs, while maintaining a positive public image.
Marketing and promotional activities are designed to enhance the established image and revenue generating capabilities of the Department of Intercollegiate Athletics and the University. The Assistant Athletic Director for Marketing and Promotions, under the direction of the Director of Athletics, oversees the planning and coordination of all such marketing and promotional activities and ensures that said activities are appropriate within an educational environment.
Promotional activities are designed to provide a total entertainment package to the patrons. More specifically, the goal is to create a wholesome family atmosphere with something of interest for everyone. This requires careful coordination between the coaches, student-athletes, fans, cheerleaders, mascot, dance team, and band.
The current marketing strategy is to target a well-defined demographic segment of the population for personal and direct mail solicitation. A broader audience (i.e., Texoma and selected cities/areas within Southeastern Oklahoma) is targeted for informational marketing (e.g., announcements of games, times, dates, special promotions, etc.) via radio, television, and newspaper media.
An emphasis is placed on the marketing of sports programs with income producing or fund raising potential. Marketing and promotional activities include, but are not limited to:

External Athletic Operations Project Team
The Office of External Athletic Operations at Southeastern Oklahoma State University is under the direction of Blake Allen who serves as a senior member of the Athletic Department's leadership team and is responsible for external communication, marketing, promotions, corporate partnerships, brand development, web site traffic growth, media rights and game operations for the Department of Intercollegiate Athletics and all eleven of Southeastern's athletics programs.
In the spirit of interdisciplinary collaboration, SE Athletics has forged a unique relationship across Southeastern's campus with Composition and Graphics, University Communication and Strategic Marketing to meet its goals. Formed in 2006, our External Athletic Operations Project Team combines talent, experience, proven results and a strong business model to face the challenges of marketing not only the Southeastern brand and image but also the brands of its corporate and community partners.

Advertising Guidelines
All advertising for SE Athletics-sponsored events must be approved by the Assistant Athletic Director for External Operations. The Department of Intercollegiate Athletics will secure a sponsor, utilize media trade or pay the cost of advertisement within the budget constraints established for each sport.
Only approved logos for the Department of Intercollegiate Athletics are to be used in advertising. Correct versions of Southeastern trademarked logos may be obtained from Southeastern through the University Marketing Department. The advertising of certain special athletics events (e.g., summer camps, clinics, etc.) is the financial responsibility of the coach who is directing the event. The coach is expected to know and adhere to NCAA regulations regarding such advertisements. The director of the event is also responsible for making all arrangements to schedule the advertisements. However, the Director of External Athletic Operations reserves the right to evaluate and approve the specifications for the advertisement, which should include the following:
- The appropriateness of the advertisement
- The advertising medium
- The advertisement copy
- The size of the advertisement
- The cost per run date
- The run dates
Public Address Announcements
The Department of Intercollegiate Athletics will appoint a public address announcer to provide game announcement coverage, Public Service Announcements, commercial endorsements, promotions and other announcements determined to be appropriate for the contest. The Assistant Athletic Director for External Operations will be responsible for the appointment, script and supervision of the public address announcer.
Coaches are responsible for communicating to the Office of External Athletic Operations any special requests that need to be included in the announcements/script, (i.e., Parent's Night, Senior Recognition, etc.).
Absolutely no announcement requests or scripts that have not been pre-approved shall be read over the PA. Hence, an announcer shall read no impromptu announcements, unless approved by the Assistant Athletic Director for Marketing and Promotions.
Music at Home SE Events
Music arrangements are made through the office of External Athletic Operations. Based upon availability, accommodations will be provided for cassette, compact disc and/or computer automated sound systems. The following is the Southeastern Athletics home event music policies:
The Southeastern Department of Intercollegiate Athletics strives to ensure that the atmosphere at all home athletic events contain a fan-friendly environment. In order to safeguard the fans experience at our events, all music selected at games - which includes warm up music, walk up songs and/or any music performed by the entertainment groups - utilize music that is considered appropriate by SE Athletics. Inappropriate music includes lyrics that reference race, ethnicity, gender and sexual orientation in a potentially derogatory manner. In addition, the Southeastern Department of Intercollegiate Athletics reserves the right to refuse to play any music that it considers offensive to our fans. Student-athletes have the opportunity to provide the Director of External Athletic Operations with a playlist of the songs that they would like to play during their warm-up at the beginning of each season. Songs or playlists must be submitted at least 2 business days prior to the first home event in order to ensure that all songs are checked for lyrics. If a song is deemed inappropriate, it will be removed. The Assistabt Athletic Director for Marketing & Promotions will ensure that the appropriate equipment (i.e., compact disc player, computer, microphone, etc) is available at home events and will be responsible for all programming and usage, as well as staffing the operation of sound systems.
Assignment of singer/groups to sing the National Anthem (or other pre-game songs) shall be the responsibility of the Office of External Athletic Operations. Music for the National Anthem will be available from the Office of External Athletic Operations if necessary. If a coach wishes to arrange for an individual or group to sing the National Anthem at a home contest, the Office of External Athletic Operations must be notified at least five business days in advance of the home event. This is to ensure that any special requests needed to accommodate the individual or group (i.e., reserved seats, extra microphones, parking passes) can be arranged in a timely manner.
The Office of External Athletic Operations shall be the departmental liaison to the Southeastern Marching & Pep Bands and shall coordinate their appearances at sporting events. During events, music will be coordinated by the Assistant Athletic Director for Marketing and Promotions between band/public address announcer/event music coordinator prior to game to minimize confusion.
Promotions
Any planned promotions/special events must be coordinated well in advance with the office of External Athletic Operations. Coaches cannot send out any promotional flyers, advertising or solicit sponsorship without prior approval of the Assistant Athletic Director for External Operations. Coaches cannot institute price discounts on admission to events without prior approval from the Director of Athletics.
Game Day Entertainment
The Department of Intercollegiate Athletics retains the authority to determine the type of entertainment to be presented at athletics events. Assistant Athletic Director for Marketing and Promotions will be responsible for selecting and procuring entertainment resources deemed by the Director of Athletics to be appropriate for half-time and pre/post game entertainment. Football, volleyball and basketball pre-game and half-time ceremonies are routinely planned to include some music and entertainment. The Assistant Athletic Director for Marketing and Promotionsmust ensure that such entertainment is within the guidelines established by the University, the Great American Conference, and the NCAA.
The Assistant Athletic Director for Marketing and Promotions coordinates pre-game and half-time events with the Band Director, Cheerleading Sponsor and the Dance Team Coach as required. On occasion, outside groups (e.g., high school bands, drill teams, etc.) are invited to perform in conjunction with special events. The performers are all limited to a 7-minute half-time performance. Every effort is made to ensure that the selected entertainment serves to enhance the atmosphere and enthusiasm level of the spectators and to minimize the creation of potential crowd control or disruption problems.
Bands
The Southeastern Pep Band is overseen by the Band Director, who sets all performance standards. The Pep Band is limited to travel to the Great American Conference games and postseason play as determined by the athletics administration and the Band Director.
Community Relations
The Office of External Athletic Operations strives to promote Southeastern Athletics at various community events including, but not limited to, parades, elementary school festivals, and local professional sporting events. The Department of Intercollegiate Athletics has specific procedures established for contracts with outside commercial entities. Any Southeastern student group or individual looking to distribute promotional material during athletic events must receive approval by the Assistant Athletic Director for Marketing and Promotions.
SE Schedule Card & Schedule Poster Policy
The Office of External Athletic Operations offers schedule posters and schedule cards free to the public. Schedule posters are produced twice each year (fall for football, volleyball, cross country and golf then winter/spring for basketball, baseball, softball, tennis and golf). Schedule cards are produced three times a year for fall (football and volleyball), winter (men's and women's basketball) and spring (baseball and softball).
The posters and schedule cards are available free of charge at locations within the Southeastern Athletics Department on the Durant campus. Schedule cards can also be requested by mail for Southeastern fans outside the area. To request schedule cards, please send a self-addressed stamped envelope to the address below. Only prepaid postage will be accepted - do not send cash, checks or any other form of payment. Make sure to include a slip of paper indicating your request. Limit two (2) per household. Request are filled in the order they are received and while supplies last.
